Terms

Short, because terms nobody reads protect nobody.

What this is

A tool for running one site's obligations and its paperwork in one place. You describe the job; the tool draws from a sector pack which obligations apply to it, who has to produce each record, at which stage of the work, and how often. You file the paperwork against those obligations, record what was done on each working day, and the tool reports what the records you hold are able to show and where a record is missing or out of date.

It is not an inspection, it issues no nonconformities, and it never signs anything off. Every decision stays a named person's to make. Nothing here substitutes for your own judgement, for a competent person's, or for an enforcing authority's.

Your documents

They are yours. They are stored in an area isolated to your organisation and readable only by accounts belonging to it. On the free trial, if nothing is arranged, everything the trial holds is removed thirty days after the trial ends; you are told before that happens.

A page that carries its own text is read from that text. A scanned page or a photograph is read by a reader running inside the service, which is the default for every seat. Where a scan reads badly we can switch your account to Google Document AI in the European Union, which returns text and acts as a processor that does not use the content to train models; we would tell you before doing so, and every report names which reader read each page. If your own agreements do not permit the cloud reader, say so and it stays off.

A seat

A seat is one person's: £49 a month including VAT, paid by card through Stripe, with no minimum term. The receipt shows the VAT. Cancel at any time from the billing page; that stops the next payment, and the seat stays open to the end of the period already paid for. When a seat lapses, nothing you filed is removed and everything stays readable; paying again is the whole of the way back. A seat gets no human support: the product has to answer its own questions at this price.

A company account

People who have each bought a seat can work on one company account. The person who runs that account asks us for a key and gives it to them; entering it moves their sign-in onto the company account, and they go on paying for their own seat. Every seat is still one person's and is still £49 a month: there is no company price and no discount for a group.

Joining never merges, moves or removes anything. If somebody already holds work of their own on this account, we refuse the join and say what we found rather than deciding for them. If one person's seat stops being paid for, that one person becomes read-only and everybody else on the account carries on. The person who runs the account can put somebody back out again, which gives that person an account of their own with their seat still theirs, and removes nothing.

Fair use

Reading scanned pages costs us money for every page, and a seat is priced for one person's own work. Nothing is metered against you month to month. If an account's use is persistently far beyond what one person's work could need - a firm reading through one login, or an automated feed - we will tell you first, and we may then restrict it or ask you to move to a plan that fits. We never do that without telling you, and nothing you have filed is removed because of it.

What we record, and what we do not

When you upload paperwork, the tool proposes where it belongs and a person confirms that or files it somewhere else. We keep counts of how often the proposal was right, so we can tell whether the reading is getting better. Those counts stay inside your organisation and are shown to nobody else.

Every record carries two dates: the day written on it, which is the day the work or the check was done, and the day it was filed here, which the service sets itself and nobody can change. Both are shown to the people on your project: the day on the paper is the record's own, and the day of filing is when somebody took responsibility for it here.

Two things leave your organisation. The first is a platform-wide total that carries counts and single words taken from filenames - no document text, no organisation is named, and a word from a filename is counted only once at least three unrelated organisations have produced it, so a word that is really one firm's project code cannot cross that line. The second is the anonymised statistics about the work described under Anonymised statistics below, which include the two dates on each record and not the counts above.

We do not record the contents of your documents, the values read out of them, or the names of your people, suppliers or clients. If we ever want to use your actual documents to improve the reader we will ask you separately, and it will be off unless you turn it on.

Anonymised statistics

Leveret Systems Ltd keeps anonymised statistics about the work run on the service, in a separate store that the service you sign in to cannot read and that no customer can see. Against a reference that cannot be worked back to you without a key we hold apart from the store, they record: how long each work package was planned to take and how long it took; its progress day by day, the day each entry was made, and the coded reason where a day was lost; how the packages follow one another; when access, information and materials were needed and when they came; which checks applied, the day each was done and the day it was filed; the estimates planners gave; the nation the site is in and the days it works. The dates are kept as they are, so that the seasons can be learned from. Every name, company, address, document, photograph and piece of typed text is left out, and so is every rate and sum of money. Nothing in the store is ever shown to anybody as it stands. What comes out of it is figures worked out across many projects - a typical duration, a probability, an allowance for the time of year - and anything of that kind shown to a customer is drawn from the work of at least three other companies, so that nobody's results can be read back out of it. We use the statistics only to improve and train our own planning and forecasting models. They are never sold or shared, and never used to single out a customer. Availability and liability

The free trial is provided as-is, with no warranty and no uptime commitment. What the tool shows is only as good as the records filed into it: a date read from a scan is a machine's reading of an image and is flagged as such, and a question nobody has answered is drawn as not known rather than as a no. Do not rely on this tool alone for a decision about safety or about compliance with the law.
